Overview
1. Download Excel with the information.
2. Enter Deposits in Eagle.
3. Assign and review Refunds.
4. Apply for Refunds at Eagle.
5. When they are FULL Refund
6. Email accounting before 3 pm.
Before making deposits in Eagle:
1. Go to the Wells Fargo or Global Holdings portal to download Excel with daily information.
a. Look for All Transactions at the bottom.
b. Download Excel – DEPOSIT Account #
i. Download only what you did the day before
c. From the downloaded file, look for Deposits in the daily emails you receive from FORTH, GLOBAL, JW, RAM.
d. Each Deposit is separated by Refunds
i. Create a new Excel to save Daily Activity Refunds information.
1. The information is in the emails or provided by Keoyna.
ii. Write information by DSC and add it up with the values that are in Wells Fargo or Global Excel.
1. Verify that the DSC information in the Daily Activity matches the value of the downloaded file.
iii. In Wells Fargo's Excel (bank) you write the information by DSC and write it in column "D".
1. The name of the DSC is searched in Eagle with the Account number of the Daily Activity report.
2. Deposit in Eagle
a. Fresh Start > Merchants > All
b. Search for each of the Merchants.
i. Click on the 3 dots on the right.
ii. Select "Add Deposit".
iii. Enter information from the downloaded file.
1. Transaction date is the day the transaction comes in.
2. Transaction Amount is the breakdown value of the refund.
3. Description is column 4 of the downloaded file.
4. Bank Charges won’t be touched.
iv. Click Save.
v. Select the DEPOSITS tab
1. Copy the Deposit ID to the downloaded file.
2. Verify that the Deposit IDs on the Wells Fargo File match those on Eagle.
3. To Assign and Review Refund in Eagle
a. Look for the account number from the Daily Activity Report.
i. The list is taken by Merchant.
ii. From the list in Eagle, select the one that says "FUNDED".
4. Apply for Refunds in Eagle
a. Click on the 3 dots.
b. Select Request Refund.
i. Request Amount: copy Amount from Daily Activity Report.
ii. Refund reason: Option 4 – Actual Settlement Amount is…
iii. Click REQUEST REFUND.
c. Check that refunds are uploaded to Eagle:
i. Fresh Start > Refund > Review
ii. From the list click on DETAILS
1. Open all Merchants refunds in separated tabs.
iii. Assign deposit > Click on Deposit ID
1. Select the one that corresponds to you by date and amount.
iv. Check that REMAINING TRANSACTION is set to 0.00.
v. Click CHANGE STATUS
1. New Status is Approved > tab by tab
2. Close each tab and update the Refund Review
d. Check approved refunds.
i. The sum of the total of those approved must match the total in the Wells Fargo file.
5. When they are FULL Refund in Eagle
a. Look for the account number in Eagle.
i. From the list in Eagle, select the one that says "FUNDED".
b. Click on the 3 dots.
i. Select Request Refund.
ii. Click on FULL
iii. Refund reason: Option 1 or 2
iv. Click REQUEST REFUND.
